How ISO 42001 defines an AI management system

The International Organization for Standardization defines an AI management system as, “A set of interrelated or interacting elements of an organization intended to establish policies and objectives, as well as processes to achieve those objectives, in relation to the responsible development, provision or use of AI systems.”

In other words, an AI Management System is all of the policies, procedures, and controls an organization implements to address AI risks.  

The key components of an AIMS include: 

  • Structured AI governance and accountability: ISO 42001 requires organizations to define and document roles and responsibilities related to AI governance, ensuring accountability and oversight at all levels. The standard also encourages the establishment of governance bodies, such as AI ethics committees, to oversee the development, deployment, and maintenance of AI systems​.
  • AI risk management: The standard mandates regular AI risk assessments and impact assessments to identify, evaluate, and mitigate risks associated with AI systems. This includes ethical, legal, and operational risks.
    Organizations are also required to continuously monitor AI systems for emerging risks and update their risk management strategies accordingly.
  • Ethical considerations: ISO 42001 promotes the development and implementation of ethical guidelines that address fairness, accountability, and transparency in AI operations. The ISO 42001 certification process

The ISO 42001 certification process is similar to that of ISO/IEC 27001, involving Stage 1 and Stage 2 audits as well as surveillance and recertification audits.

Here’s an outline of the ISO 42001 certification process:

Select a certification body

Choose an accredited certification body to perform the certification audit. Ensure the certification body is recognized and has experience with ISO 42001 assessments.

Stage 1 certification audit

There are two main stages to an ISO 42001 certification audit. During the Stage 1 audit, an auditor reviews the organization’s documented AIMS, including policies, procedures, and records, to ensure all necessary documentation is in place and aligns with the standard’s requirements. This also allows the auditor to evaluate the organization’s overall understanding of the ISO 42001 standard and its proper implementation.

In some cases, the auditor may conduct a preliminary on-site visit to gain an understanding of the physical context in which the AI systems operate and identify any potential issues that could arise during the Stage 2 audit.

At the conclusion of the Stage 1 audit, the auditor provides a report detailing findings and any identified gaps or areas of non-conformity.

Remediate any non-conformities

If the certification audit identifies any non-conformities, the organization is given an opportunity to address them promptly and provide evidence of corrective actions to the certification body.

Stage 2 certification audit

The goal of the Stage 2 audit is to evaluate the implementation and effectiveness of the AIMS in practice. The auditor visits the organization’s site(s) to observe processes, interview staff, and assess the operating effectiveness of implemented controls.

At the end of the on-site audit, the auditor provides a detailed report with findings. This includes any non-conformities, observations, and areas for improvement​. If any non-conformities are found, the organization must take corrective actions and provide evidence of these actions to the auditor.

Certification decision

Based on the findings from both Stage 1 and Stage 2 audits, the certification body decides whether to grant the organization ISO 42001 certification. Certification is valid for three years.

Annual surveillance audits

After the initial certification, yearly surveillance audits are conducted by the certification body to ensure ongoing compliance with ISO 42001.

Recertification

After the three-year certification period ends, a recertification audit is required.
